Position Overview 

Under the supervision of the Development Director, the Development and Events Manager will be primarily responsible for data entry, processing giftacknowledgement letters and maintaining data integrity in the donor database. They are also responsible for individual giving ($1 – $999) including the overall success of individual giving campaigns. The Development and Events Manager serves as the lead for event planning, revenue generation, management, production, and sponsorship. The most successful candidate will be adept at managing high volumes of data confidentially, problem-solving efficiently, thinking creatively, being detail oriented, applying excellent interpersonal skills to a broad audience and be capable of building strong and positive relationships with donors and partners. Other responsibilities of the positioninclude administrative duties as they relate to donor data management and gift processing. The primaryobjective of this position is to provide comprehensive support for all development activities. 

 

The job duties of this position are performed personally, in cooperation with your supervisor, and/or in coordination with other staff. Additional work functions and duties may be assigned. 

 

Job Duties

 

Donor Relations 

  • Assist with the creation and implementation of the annual development plan that incorporates a range of strategies including donor correspondence via direct mail, newsletters and email, giving campaigns, grants, corporate, civic faith and individual appeals, social media and special events. 

  • Aid in full-cycle donor relations efforts and development initiatives and manage the donor stewardship process. 

  • Conduct research, identify, qualify, solicit, and steward donors of contribution up to $999; contact potential donors through phone, targeted email and direct mail; Utilize team approach for prospect and donor management (e.g., log activity and contact reports).  

  • Ensure timely and appropriate donor recognition. 

  • Build lifelong, sustaining relationships with current individual and corporate donors.  

  • Collaborate with the Marketing Department to maintain donor email lists and edit quarterly donor newsletters. 

  • Manage the successful execution of an annual Fall Mailing solicitation to donors through coordinating the overall milestones to completion and the compilation of the mailing list. 

 

Database Administration 

  • Manage updated and accurate donor information in Salesforce donor database, including data entry protocols, back-ups, gift processing, data integrity, reporting, and other database tasks. 

  • Manage and maintain donor database to include basic donor information, donations, and donor acknowledgements. 

  • Collaborate with Development team to maintain donor and constituent record integrity. 

  • Identify and implement processes and improvements to ensure the integrity of the database, including troubleshooting/identifying inconsistencies and making corrections. 

  • Record, process deposit entry, and acknowledge gifts daily/weekly. 

  • Generate lists, run queries, batches and reports in Salesforce as needed to support CEO, Development and Finance teams that drive development decisions and actions. 

  • Work with the Finance Team in accurately recording coding and reconciliation of donor gifts monthly. 

  • Respond to donor inquiries regarding donations.  

  • Manage in-kind donations including tracking, gift acceptance, and gift acknowledgements. 

 

Event Management 

  • Responsible for creating and implementing an annual master plan outlining the objectives, timeframe and logistics for each event. 

  • Assist Development Director in prospecting and securing corporate support for special events and/or identifying viable third-party events and fundraising efforts. 

  • Work in tandem with Grants Manager to identify special events grants and provide necessary fulfilment via event credentials per grant agreements. 

  • Coordinate with marketing team to develop a timeline and implementation of event related promotional materials and KSS branding at each special event.  

  • Design event communication plans including drafting newsletters, social media, sponsorship and guest communications, and press releases. 

  • Successfully engage and work with KSS’s volunteer event committees by planning committee agendas and preparing meeting materials to guide the planning and execution of successful fundraising events. 

  • Provide excellent customer service to guests by providing an exceptional event experience with true hospitality. 

  • Prepare final reports for events that illustrate the effectiveness of the event in terms of financial goals and impact. 

 

Auction Coordination    

  • Responsible for silent and live auction management utilizing event bidding software (i.e., Classy) 

  • Create and implement auction solicitation strategy and direct any volunteers/interns involved in the process of securing auction items. 

  • Direct auction set-up and displays as well as and break-down and security of items and/or create on-line auction format. 

  • Oversee auction checkout and on-site mobile bidding as well as item delivery to winners. 

  • Prepare appropriate donor acknowledgments for event participation: auction in-kind donations as well as auction item winners.  

  • Responsible for monitoring delivery of invoices/acknowledgement within 72hrs of donor commitment, gift or participation.

Qualifications 

  • A bachelor’s degree in communications, Nonprofit Management, or related field and three (3) years of individual giving and/or fundraising experience; or an equivalent combination of education and experience. 

  • Experience with donor or client relationship building and conducting one-on-one sales/donor/stakeholder meetings required. 

  • Experience with fundraising from individuals.  

  • 2 – 3 years of special event management experience. 

  • Must be computer proficient and possess experience of Microsoft Office Suite & Salesforce, Raisers Edge or similar donor database software and able to learn new software as needed. 

  • Excellent written and verbal communication skills including writing and report development. 

  • Ability to implement agency vision, mission, values and strategic plan. 

  • Ability to handle multiple tasks and to assess and change priorities based upon agency needs. 

  • Strategic thinker who communicates professionally and effectively with diverse staff, volunteers, donors, prospects, and community stakeholders. 

  • Ability to maintain consistent exercise of discretion and confidentiality in the performance of duties. 

  • Ability to work with a high degree of autonomy, initiative and exercise personal judgment in a fast-paced environment with a strong sense of humor and integrity. 

  • Superior skills to organize, plan, and execute the full scope of required programs. 

  • Knowledge of outdoor education and K-12 science education is desirable. 

  • Candidates must possess a Colorado driver’s license, meet extensive background check criteria and criteria regarding clearance to drive KSS vehicles.
